Who is responsible for your data

KleanQuote is operated by Chi Hou Ivan Iu, who is the data controller for the personal data described here. KleanQuote is based in the Netherlands. Contact: support@kleanquote.com.

For the details of your own customers that you enter into quotes, you are the controller and we process that data on your behalf, only to provide the service.

What we collect and why

• Account data (name, email, login credentials or Google sign-in) — to create and secure your account. Legal basis: contract.
• Business data (company details, logo, pricing settings, quotes, customer details you enter) — to provide the service. Legal basis: contract.
• Licence records (purchase reference, date, product) — to activate your licence. Legal basis: contract and legal obligation.
• Support messages — to answer your questions. Legal basis: contract and legitimate interests.
• Technical data (IP address, device and browser information, logs) — for security, fraud prevention and fixing problems. Legal basis: legitimate interests.
• Email delivery data (recipient address, delivery status) — to send quotes to your customers and handle bounces. Legal basis: contract and legitimate interests.

Card and payment details are collected by Paddle, not by us.

Who we share it with

• Service providers that host the app, store data and deliver email for us.
• Paddle, our Merchant of Record, for selling licences, payments, tax compliance and invoicing.
• Professional advisers such as legal and accounting advisers.
• Authorities where required by law.

We do not sell your personal data.

International transfers

Some providers may process data outside the UK or EEA. Where this happens, we rely on adequacy decisions or Standard Contractual Clauses to protect it.

How long we keep it

We keep account and business data while your account is active. When you close your account, we delete or anonymise it within 90 days, except records we must keep for legal or tax reasons.

Security

We use appropriate technical and organisational measures, including encrypted connections, access controls that keep each business's data separate, and private storage for logos.

Your rights

You have the right to access, correct, delete, restrict or object to processing of your data, to data portability, and to withdraw consent at any time. You can also complain to your local data protection authority. Email support@kleanquote.com and we will respond within one month.

Cookies

KleanQuote only uses essential cookies and browser storage needed to keep you signed in and the app working. We do not use analytics or marketing cookies.
